Overview
Sometimes, you need to perform tasks such as adjusting user account settings or adding a new user to the Appical platform, but you notice that your access differs from that of your colleagues with other roles. This article explores the possible reasons why you might have limited access and how to resolve them.

Not seeing all courses
Not seeing all tags
Not seeing all users in user management
Not being able to send invitations for other roles
Not being able to find a user
Steps to Resolve Limited Access Issues
→ Not Seeing All Courses or Tags
Editor Role
If you have the Editor role and are not assigned to a course or tag, you won’t be able to see any related content. Editors only have access to the courses and tags specifically assigned to them.
Solution: Ask a User Manager or Admin to assign the relevant course(s) and/or tag(s) to your account.
Admin Role
If you are an Admin and don’t see all courses, you might have specific course/tag assigned to you.
Solution: Remove any assigned courses/tags from your account to gain full access to all content in the Editor.
→ Not Seeing All Users in User Management
If you are an Editor or User Manager, you may see fewer users than an Admin. This happens if you have specific courses assigned to you—you will only see users with the same course assigned as you.
Solution: If you need broader access, request an Admin to update your course(s) view.
→ Not Being Able to Send Invitations for Other Roles
Your ability to send invitations depends on your role:
Editor → Can invite Viewers and Managers
User Manager → Can invite Editors, Viewers, and Managers
Admin → Can invite all roles
Solution: If you need to invite a role outside your permissions, ask an Admin to do so.
→ External Editor / User Manager / Reporter Restrictions
If the External Access feature is activated at the organization level, Editors, User Managers, and Reporters will have a limited view. They can only see Viewer users assigned to their group.
Solution: If you require broader access, contact an Admin to review your permissions.

→ Not Able to Find a User
If you are unable to locate a user, consider these possibilities:
The user is archived – Click on the filter option on the left side of the User Management screen. In the pop-up, open the Status menu and select "All" to check for archived users.
Role-based restrictions – Your role may limit access to certain users, as outlined in the sections above.
The user is not in Appical – Confirm with an Admin if the user has been added to the platform.
