Scheduled Report: Track new hires starting each week

This article explains how to set up a scheduled report that includes data from the new hires starting in the current week.

Overview

In July 2025, we released a new Scheduled Reporting option that helps you stay on top of who’s starting each week. If you're part of a large organisation with multiple new hires joining on a weekly or monthly basis, this report allows you to automatically receive a list of upcoming starters without having to manually check each time.

Example

Let’s say you have 5 new hires starting in the next few weeks. If you schedule a weekly report, you'll receive an Excel file every Monday listing just the new hires whose first day falls within that week. It can include details like their email, start date, and any additional information you've chosen via filters.

📌 Important: Make sure you've already added your users with a start date in the Appical system.

  • Scheduled reports are sent based on the user’s first day, not the day they were added.

  • Reports are delivered in Excel (.xlsx) format.



Steps to Set Up a Weekly New Hire Report

→ Go to the Reporting Page and Open Custom Reporting

  1. From the left-hand menu, click on Reporting.

  2. Then, select Custom Reporting to begin creating your personalised report.

→ Set Up Your Scheduled Report

  1. Select the course(s) you want to include in the report

    • These should be the courses your new hires are assigned to.

  2. Choose the data fields to include in the report

    • For example: Name, Email, First Day, etc.

    • These will be shown as columns in the Excel report.

  3. Schedule your report

    • In Step 4 (Schedule report), enter a name for your report.

    • Choose how often you want to receive it (e.g., weekly).

    • Make sure to select the “This Week’s New Hires” option to filter the starters for each week.

⚙️ Scheduled Report options:

  • Daily: Receive a report every day with the new hires starting that week.

  • Weekly: Receive a report every Monday with the starters for that week.

  • Monthly: Receive a report on the 1st of each month with the new hires starting in that week.

4. Save your settings

  • Click Save to activate the scheduled report.
