Save time by saving your reports

What is Scheduled reports

We are introducing a new type of report called Scheduled reports. Save time by scheduling your reports and have it sent to you or any other email addresses daily, weekly or monthly. This option is available for Custom reports at the moment.

How to set it up

After running a report in Step 5 simply indicate that you would like to save the report as Scheduled reports. Later you will be able to adjust that under ‘Scheduled reports’.

How does it work?

How can I save a report?

After running your report (selected all users, options you want to be included in your report), as a last step (Step 5.) save your report. Give it a name and if you would like to, specify the frequency. Options are daily, weekly, monthly, but it can also be left blank. Later you can find the saved report under ‘Scheduled reports’ and you can further edit it there.

How will I find my saved report?

Go to ‘Scheduled reports’ under Reporting.

How can I edit my saved report?

Next to each saved report there is an edit button. Clicking on that a popup will appear, which will allow you to edit your saved report. Give your reports a self-explanatory name so you will remember which is which.

Who will receive the saved report?

When editing a report you can also assign recipients to it. Since you scheduled the report, you will be added by default, but later you can delete yourself.

Can I download the report myself when needed outside of the scheduled times?

You can schedule these reports to be sent to you on a daily, weekly or monthly basis.
Daily reports will be sent on a daily basis depending on the timezone setting in the org settings, CET at 8 am. Weekly reports will be sent each Monday at 8 am and monthly reports will be sent each first calendar day of the month at 8 am. However, there is also a download button next to each report, which you can click on in case you would need to download it immediately

Can I edit an already saved report?

Unfortunately no, the report will need to be deleted or a new report needs to be created when adjustments are required.

What happens if new users are being added to the system?

If you saved a report and checked ‘All users’ in reporting, then new users will automatically be included in your saved report after they are added in the system. However, if you run the report on specific users, we can not include new hires and you will need to run or save the report again. We are adding a warning in this case to notify the editor.

Is my scheduled report visible to others in the course?

If you are a user with admin rights, you will be able to see all saved reports. However all other users have access to the reports that they themselves scheduled only.

Can I set a custom date and time when scheduling the report?

No, we have 4 default options:

  1. Report is saved but not scheduled, and can be downloaded manually.

  2. Report is scheduled on a daily basis, email will be sent depending on the time zone settings, for CET at 8 am each day.

  3. Report is scheduled on a weekly basis, email will be sent at 8 am, each Monday.

  4. Report is scheduled on a monthly basis, email will be sent at 8 am, each first day of the month.
