Create reports with a custom set of data

In this tutorial you will learn how to create a custom report on single, groups/multiple users and multiple courses.

Where the Group/ Multiple and Single reports have a standard template of data that's included. Custom Reports can provide you with just the information that you need without creating a report with over 20 columns of data.

Instead of creating reports for one course at a time, it's also possible to select several courses. You can switch between the reports easily by clicking tabs or create a PDF that contains all selected courses. On top of that you can also create a report based on Tags.

Step 1. Click on ‘Reporting’ in the menu

Step 2. Navigate to Group/Multiple and click on ‘Select’

Step 3. Select the desired course or courses.

Step 4. If you want to create a report on multiple users you search for them and select the users that you want to include in the report.

If you want to create a report on a group you will have to change the selection in the dropdown menu to 'Group(s)' and select the desired group afterwards. To search for a group select 'Groups' first and type the name of your group at 'Search groups' on the right side.

To create a report based on tags you will have to change te selection as well.

A 'Filter Tags' button will appear if the course that you selected earlier contains tags. Note that the 'Filter Tags' option only appears if you select 1 course.

If you click the button, a pop up will appear where you can select which tags you want add to the filter. You will only see the users that have the tag or tags that you have selected.

Step 5. Select the Columns (type of information) that you want to include in the report by checking the checkboxes.


The columns that you can add to the report are:

User
ID, First Name, Last Name, Full Name, Email, Groups, Role, First sign in at, First day, Devices, Visits, Created at, Invitation accepted at, Last sign in, Latest policy, Invited by, Language, Country tags, Office tags, Role tags, Followed by, Following

Course
Progress, Score, Visits, Time spent

Story
Progress, Score, Visits, Time spent

Chapter
Progress, Score, Visits, Time spent

Page
Answer, Result
If you selected Page Answers and/or Page Result, an extra step pop up where you can select which quiz/essay pages you want to show the progress and results for in the report.

You can select all quiz/essay pages by checking the checkbox next to the name of a course ('Appical Support' in the example below), all pages in a story by checking the checkbox next to the name of a Story ('Preboarding Appical'), selecting a chapter (A Brand New Day') or select just a few pages ('What are your expectations, 'Assign Page example')

Step 6. Click on 'Done' and your Report will start downloading. This is an .XLSX file and features all information that you selected in the process.
