Overview
Contextual tags allow you to control which content editors (users with the editor role) can access and modify. This feature is particularly useful when you have global courses or content tailored to specific regions, offices, or job profiles.
By assigning tags to editors, you ensure that they only see the stories and chapters relevant to their role. For instance, if a course contains separate chapters for different regions, editors responsible for one region can be restricted to edit only the chapters tagged for that region.
Example
If you have stories tagged as "North America" and "Europe," an editor with the "North America" tag will only see and edit content marked with this tag, ensuring they focus on relevant content while avoiding unintended changes to unrelated chapters.
π Important:
Tags must be created at the course level before they can be assigned to editors.
By default, editors can see and edit all stories and chapters unless tags are applied to their profile.
Steps to Add Contextual Tags to Editors
β Enable Tag Restrictions for Editors
Navigate to 'Courses' in the left-hand menu.
Locate the course you want to modify
Click the menu icon in the top-right corner.
Select 'Tags' from the dropdown menu.
Enable the Restrict tags for Editors option by checking the box next to it.
Steps to assign tags to new or existing editors
β Assign Tags to New Editors
Invite editors using the Single Invite or CSV Invite method.
For Single Invite: Youβll see an additional page where you can assign tags to the invited editor.
For CSV Invite: Tags will apply to all users included in the CSV file.
π Tip: Make sure the tags you wish to assign have already been created for the course.
β Assign Tags to Existing Editors
Go to User Management in the left-hand menu.
Search for the editor by name in the search bar and click on their profile.
In the user profile, click on the Courses tab and locate the desired course.
Click Manage tags for user under the course details.
Select the tags to assign to the editor from the list of pre-created tags.
