How to archive (deactivate) a user

Learn when to archive or deactivate a user account and how to do that.

Overview

There may be times when a user no longer needs access to the onboarding content, but you don’t want to delete their data completely from the system. Deleting users would remove all historical data, which may be needed in the future.


Archiving a user allows you to revoke their access to Appical while retaining their data for potential future use. This way, if the user needs access again, their information is still available. It’s a secure way to manage user access without losing valuable records.

Steps to Archive (deactivate a user)


Follow these steps to archive (deactivate) a user:

→ Go to User Management and search for the user

Navigate to User Management in the left side menu.

In the Search text field, type the user’s name or email address.

→ Select the user and archive the user

Click the on the user's details to select them.

Click on the three dots menu next to the user's name and choose 'Archive Users'.

Then confirm by selecting 'Archive' in the pop-up screen.
