How to activate an Archived (Deactivated) user

Learn how to active / reactivate an archived user or also called deactivated user.

Overview

Sometimes users are archived (deactivated) in Appical, which can prevent them from accessing important onboarding content and resources. This can happen in two ways:

  • Manual Action: An Admin, Editor, or User Manager can manually archive a user to restrict their access to the Appical platform while keeping their information from Appical saved.

  • Automatic Action: A user’s account can be automatically archived if a deactivation date is set in their profile.

When archived users try to log in, they receive this message:

"Your account has been deactivated. Please contact your manager if you would like to regain access to your account."

Reactivating an archived user allows them to access Appical again, ensuring they can continue their onboarding process and use available resources. Additionally, updating the deactivation date prevents unnecessary future archiving, making it easier for users to access the platform.


Steps to activate an archived user

To start, go to User Management in the main menu.

In the search field, enter the archived user’s name or email address to locate their profile.

Once you find the user, select them by clicking on their profile.

→ (Re)Activating user

Click on the three dots menu on the right of the user profile

Then, click Activate and confirm activation in the pop-up screen.

→ Adjusting the deactivation date (if applicable)

If the user was archived due to a set Deactivation Date, go into their profile to update the date.

Click on the deactivation date field and use the dropdown menu to change it.

Note: Without this step, the user may be archived automatically again.
