Overview

After new hires complete HR forms, it’s essential to gather and analyse their responses efficiently. Downloading HR form responses enables you to quickly access and review user data in a structured format. This not only streamlines the onboarding process but also aids in compliance tracking and informed decision-making.

📌 Important Note:

  • Data Retention: The data collected through HR Forms is stored in the AppicalNow backend for 30 days. After this period, it will be automatically deleted from our servers.

  • Access Control: Access to HR Forms reporting is restricted to authorised HR personnel only due to the sensitive nature of the information.
    Note: If you’re a member of your company’s HR team but lack access, please contact [email protected] for assistance.


Steps on how to download HR Form responses

Follow these steps to download completed HR form responses and manage them appropriately:

→ Access HR Forms Reporting

Navigate to Reporting in the left menu.

Select the HR Forms reporting option to view the relevant data.

→ Review the Data

On the reporting screen, you will see key information about the HR forms, including:

  • Date Completed: When the form was completed by the user.

  • Will Expire In: The date until the data will be available (30 days from the completion date).

  • Name: The name of the user who filled in the form.

  • Email: The email address of the user.

  • Template Used: The name of the form template filled in by the new hire.

  • Status: Indicates whether the user has completed the form or is still in progress.

  • You can also filter the entries by selecting a specific form from the dropdown menu and clicking on Filter to narrow down your results.

→ Download Responses

Click on the arrow button (⬇️) to download the data.

An Excel (.xlsx) file will be generated, containing two columns:

  • Questions from the template

  • Corresponding answers provided by the user
