How to Find a User in User Management

Learn how to locate users in AppicalNow's User Management section by adjusting filters and search settings when users seem missing.

Overview

This article explains what to do when you can’t find a user in the User Management section of AppicalNow.

Sometimes, users might not appear in the search results due to reasons such as:

  • The user is deactivated or archived

  • The user has been set as anonymous

  • The user is deleted or does not have access to Appical yet

This article will guide you on how to adjust filter settings and search methods to locate the user effectively.

Example:

For instance, you might be looking for a re-hire’s name in Appical but can’t find it in the user list. This might be because the account is archived or deactivated. By adjusting the filters and selecting the right status, you can check if the user’s account still exists and reactivate it if necessary.


Steps to Find a User in User Management

→ Search for the User

  1. Go to the User Management section.

  2. Use the search bar at the top of the page.

  3. Type in the user's name or email address and wait for the results.

Tip: If the user doesn’t appear, try searching for partial names or email fragments.

→ Adjust Filter Settings

  1. Click on the Filters button located under the + Add Users button.

  2. In the Status dropdown menu, select "All" to include active, archived, anonymized, pending, and invite-pending users.

  3. In the Role dropdown menu, select "All" to ensure no role-based filtering is applied.

  4. Click the Apply button and wait for a few seconds for the search to refresh.

→ Review Search Results

  • If the user appears after adjusting the filters, check their status:

    • If Deactivated, you can reactivate them.

    • If Anonymized, note that this process is irreversible and the user cannot be recovered. You will need to add them again through an invitation.

    • If still missing, the user may have been deleted or not invited yet.

→ Reactivate a Deactivated User (If Found)

If the user is listed as Deactivated, follow these steps to reactivate their account:

  1. Click on the user's name to open their User Settings.

  2. Click on the three dots icon (options menu) to open the dropdown menu.

  3. Select Activate User from the dropdown.

  4. Confirm the activation when prompted.

  5. The user will now regain access to AppicalNow.
