Overview
When managing content in AppicalNow, there may be times when you need to update information, retrieve course data, or provide content in another language. AppicalNow offers multiple export and download options in the course menu to support these tasks.
This article explains the differences between the Download, Excel, Export, and Translate options so you can choose the right action based on your needs. Each option serves a unique purpose, whether you're exporting text for translation, downloading course assets, or reviewing general course information.
Example:
For instance, if you need to provide your course content in another language, you can use the Export option to download all the text for translation. After the translation is complete, you can use the Translate option to upload the translated content back into the course. Alternatively, if your goal is to review the course's general structure, including the number of pages and languages used, the Excel option provides a detailed summary.
Differences between each option
β Export
The Export option allows you to export all course text into an Excel file. You can choose to include HTML tags or not, depending on whether you need them for further editing or formatting. The export file will include:
Text from all pages and dashboards
Corresponding page IDs, names, statuses, page types, and descriptions
Best for: Translating course text, editing written content externally, or creating backups of course text content.
Steps
Navigate to the Course Menu in AppicalNow.
Click the Export button.
Choose whether to export the text with or without HTML tags.
The exported Excel file will include all course text with corresponding page IDs, names, statuses, page types, and descriptions.
β Download
The Download button lets you download all course assets, such as images and videos. Because these files can be large, the process might take some time. Once complete, you will receive a zip folder via email, with files neatly organized by:
Story
Chapter
Page
Best for: Accessing all multimedia assets for backup, reuse in other projects, or offline editing.
Steps
In the Course Menu, select the Download button.
The download process may take a few minutes.
You will receive an email containing a zip folder.
The folder will be organized by story, chapter, and page, and will include all images and videos used in the course.
β Excel
The Excel option exports general course information in a structured Excel sheet. This includes:
Number of pages
Last updated date
Languages used
Available tags
Course creation date
Best for: Reviewing the course structure, monitoring updates, and tracking language use.
Steps
Click the Excel button in the Course Menu.
An Excel file will be generated containing general course information.
β Translate
The Translate option is used when you want to translate an entire course into another language. The process involves:
Exporting the course text using the Export option
Translating the exported file
Importing the translated file using the Translate button
Best for: Adding new language versions of existing courses for multilingual users.
π Note: You must first add the target language in the course settings under the Language section for it to appear in the dropdown menu.
Steps
If you havenβt added the desired language yet, navigate to Course Settings > Language section.
Click Add Language and select the desired language from the dropdown.
Return to the Course Menu and click the Export button to download all text.
Translate the text in the exported file.
Click the Translate button in the course menu and upload the translated document.
The system will apply the translated text to the corresponding sections of the course.
π Note: Make sure the file format remains compatible during translation to avoid errors when uploading.
