Overview

Anonymising users is essential for maintaining privacy while still being able to analyse data. By removing personally identifiable information (PII) from data sets, you ensure that individuals remain anonymous, allowing for compliance with privacy regulations and ethical data handling practices.

Example

if your organisation conducts an end-of-year report but has to delete a user, you lose all associated data. However, if you anonymise the user instead, the data remains intact but without any identifying details. This allows you to use the information for reporting while protecting user privacy.

πŸ“Œ Note: You can only anonymise archived users. Ensure the user you want to anonymise is archived first.

Learn how to archive a user in the article: How to archive (deactivate) a user.

Steps to Anonymise a User

β†’ Locate the User

Use the search bar to find the user you wish to anonymise.

Click on the user's name to open their profile.

Make sure user is archived (deactivated).

β†’ Access User Settings

Click on the '...' icon located on the right side of the user's profile picture.

β†’ Select Anonymise

In the dropdown menu that appears, click on 'Anonymise'.

β†’ Confirmation

Once anonymised, the user will display as 'User <random number>' in the User Management section, ensuring that they can no longer be traced back to an individual.
