Overview
Appical's dashboard has a refreshed design that gives Admins an even clearer overview of new hires' onboarding progress. It still offers the same Adoption, Engagement, Evaluation, and Essay Feed insights as before, and now also includes a user status filter, the ability to click into any chart to drill down into the underlying data, and options to set up alerts and schedule automatic reports for the metrics that matter most to you.
📌 Important:
Contact your CSM if you would like to be part of the beta testing of the new dashboard functionality.
Alerts and scheduled reports use the filters currently applied to that widget, so check your filters before setting one up.
Steps to Use the New Dashboard
→ Filtering Your Dashboard
The filter tool at the top of the dashboard lets you customise your view, so you can focus on the information most relevant to your needs.
Steps to Filter:
Select your criteria: course name(s), group name(s), user status, or a date range.
Apply the filters to see targeted data.
→ Adoption
The Adoption section provides a snapshot of new hire activity.
What You Can Find:
Total number of new hires
Number of new hires who have logged in
Login dates and their relation to the new hire's first day
Example: If you have 50 new hires, you can see how many logged in on their first day and subsequent days, helping you gauge the effectiveness of your onboarding process.
→ Progress and Engagement
The Progress and Engagement section highlights new hires' progress through various onboarding materials.
What You Can Find:
Course, story, and chapter progress
Time spent on chapters
Average visits to the platform
Example: By reviewing this data, HR can identify if new hires are struggling with specific chapters and provide additional support if necessary.
→ Evaluation
The Evaluation section summarises feedback from new hires based on Likert-scale questions related to the onboarding program.
What You Can Find:
Scores for each question
Overall course evaluation score
How many users rated the course
Example: If a specific aspect of the onboarding process receives consistently low scores, it may indicate an area needing improvement, allowing HR to take action.
→ Likert Scale Ratings
The Likert Scale Ratings records all written responses submitted by new hires during the onboarding process.
What You Can Find:
Comprehensive list of essay answers
Insight into new hires' thoughts and experiences
Example: This feed can provide qualitative data that complements the quantitative metrics, offering a deeper understanding of the new hire experience.
Drilling Down into Your Data
Many charts on the dashboard are now interactive. Clicking a segment of a chart filters the dashboard to show only that segment's data, letting you explore a specific group in more detail.
Use Case
For instance, you click the "Before first day" segment on the "When did the viewers log in in relation to their first day?" chart. The dashboard then filters to show only the new hires who logged in before their start date, so every other chart on the page updates too, showing Adoption, Progress and Engagement, and Evaluation data for just that group.
This helps you check, for example, whether those early logins also translate into higher course progress, without having to filter the whole dashboard manually.
How to use it:
Click on a segment of any interactive chart, for example a section of a donut chart.
Review the filtered results shown across the dashboard.
Click Clear filter to return to the full view.
Getting Notified with Alerts
Each section on the dashboard has a bell icon that lets you set up an alert, so you're notified when the data for that section meets a condition you choose. Click the bell icon in the top-right corner of a section.
→ Choosing the Right Trigger Type
When setting up an alert, you'll need to choose a trigger type. Here's what each one means, using an example of 5 new hires and how many times each logged in last quarter:
Viewer | Logins | Status |
Anna | 4 | Logged in |
Ben | 0 | Not logged in |
Chidi | 2 | Logged in |
Dana | 6 | Logged in |
Elin | 2 | Logged in |
Trigger Glossary
Sum: adds all the values together. Example: 4+0+2+6+2 = 14 logins in total.
Average: the typical value across everyone. Example: 14 ÷ 5 = 2.8 logins per viewer.
Median: the middle value when sorted. Example: 2 logins. This barely changes even if one person had an unusually high or low number.
Minimum: the lowest value recorded. Example: 0 logins (Ben).
Maximum: the highest value recorded. Example: 6 logins (Dana).
Count rows: how many records there are. Example: 5 viewer records.
Count distinct: how many different people meet a condition. Example: 4 viewers with a "Logged in" status.
Rate: a percentage of people who meet a condition. Example: 1 out of 5 viewers is "Not logged in," so the rate is 20%.
Weighted average: like Average, but gives more weight to larger groups, such as a bigger department.
Standard deviation: how much the values vary from person to person, rather than the typical value.
equals: triggers only when the result is exactly that number. Example: Rate is 30%.
not equals: triggers when the result is anything other than that number.
less than: triggers when the result falls below that number. Example: Rate is less than 30%.
less than or equal: like "less than," but also triggers if the result matches the number exactly.
greater than: triggers when the result goes above that number. Example: Rate is greater than 30%.
greater than or equal: like "greater than," but also triggers if the result matches the number exactly.
Example
If you want to be alerted when more than 30% of viewers haven't logged in a quarter, set up the alert as follows:
Choose Rate as the trigger type, it's the only option that gives you a percentage rather than a raw count or typical value.
Then set the comparison to greater than and enter 30 as the value.
Under Category, select login_status and filter it to Not logged in.
Result: This tells the alert to check, on the schedule you choose, whether the percentage of viewers with a "Not logged in" status is greater than 30%, and to notify you if it is.
→ Adding Recipients
Once your trigger is set up, the final step is choosing how often the alert should check your data and who should receive it.
Under Check every, enter a number and choose a time unit (day, week, month, or quarter). For our example, this would be 1 Quarter, so the alert checks the login rate once every quarter.
Under Channels, click Create new channel to add the email address(es) that should receive the alert. If a channel already exists, select it from the Send via list instead.
Click Create to save the alert.
Download and Schedule Dashboard Reports
In the top-right corner of the page, you'll find the Export button. From here, you can download the report as a PDF, receive it via email, or schedule it to be sent automatically at a later date or on a recurring basis.
Each topic also has a Download icon, allowing you to export its data as a one-time file or schedule a recurring report to be automatically sent to you and your team.
→ Exporting a One-Time File
Click the download icon in the top-right corner of the widget.
Choose Download CSV, Download XLSX, or Download PNG, depending on the file type you need.
The file downloads immediately.
→ Scheduling a Recurring Report
If you'd rather receive this data automatically instead of exporting it manually each time, you can schedule a recurring report by email.
Click the download icon in the top-right corner of the widget, then select Schedule recurring export.
Under File type, choose whether the report should be sent as CSV, PNG, or PDF.
Under E-mail recipients, enter the email address(es) that should receive the report, pressing Enter after each one to add it.
Optionally, select Use customized e-mail subject and message to personalise the email.
Under Start date, set the date and time the first report should go out.
Under Send every, enter a number and choose a time unit (day, week, month, quarter, or year) to set the repeat schedule.
Click Create export schedule to save it.
