Overview

In this article, you'll learn how to download signed PDF documents from the Signing section in Appical. This process allows you to retrieve signed forms and important documentation, such as the Certificate of Completion, that provide a detailed record of the signing events.

Example: For instance, if you're working on onboarding new employees, you may need to download signed NDAs or contracts for your records. This guide will help you access those signed documents within the designated retention period.

πŸ“Œ Important:

  • Documents are available for 60 days after being sent for signing.

  • After this period, signed documents will no longer be accessible through Appical.

  • Retention rules for signed documents may also apply based on your DocuSign account settings. For more details check: DocuSign's storage policy.


Steps to Download Signed PDF Documents

β†’ Go to the Signing section

  1. In your Appical dashboard, navigate to the "Signing" section in the main menu.

  2. This will take you to an overview of all the documents that have been sent for signing.

β†’ Review the Sent Documents

The document list displays various details, including:

  • Date Received: The date on which the form was received by the user.

  • Name: The name of the user who received the document.

  • Email: The email address of the recipient.

  • Status: Indicates the document's current status, such as 'Created', 'Sent', 'Completed', or 'Expired'.

Review this list to find the document you need to download.

β†’ Download the Signed Document

To download a signed document:

  1. Click on the 'Download file' button next to the respective document.

  2. The file will be downloaded as a .ZIP archive, which contains:

    • The signed PDF document.

    • A Certificate of Completion that includes detailed event history for the document, such as signer information, IP addresses, signature image, timestamps, and more.

β†’ Access Your Download

  1. Once the file is downloaded, extract the .ZIP folder on your device.

  2. Open the signed PDF document and the Certificate of Completion for further review or archiving.
