Overview
Some users request their data to be completely deleted via a GDPR request. Users may want this because they no longer use the platform, are concerned about their personal data being retained by Appical, or want to exercise their legal "right to be forgotten" under GDPR.
📌 Note: A GDPR deletion request usually goes to [email protected], but you can change this to your own company email. Ask your CSM or Support to check this for you.
Steps to delete a user
To fully remove a user's data, first archive the user, then anonymise them, and finally delete them. This sequence makes sure all of the user's data in the system is anonymised and deleted.
→ Go to User Management and search user
Start by navigating to User Management in the menu.
In the search field, type the user’s name or email address.
→ Archive, anonymise, and delete the user
Click on the user's details to select them.
Click on the three dots menu next to the user's name and choose 'Archive Users'.
Confirm by selecting 'Archive' in the pop-up screen.
With the user archived, click the '...' icon on the right side of their profile picture and choose 'Anonymise'.
Once anonymised, the user displays as 'User <random number>' in User Management.
Click on the three dots menu next to the user's name again.
On the right side, click 'Delete Users'.
If you're sure about permanently deleting the user, click 'Delete Anyway'.
