How to reactivate a deactivated user account

Step-by-step guide for admins and editors to reactivate deactivated user accounts, update deactivation dates, and troubleshoot accounts still showing as archived.

This article explains how admins and editors can reactivate a user account that has been deactivated, and how to prevent it from happening again.


Why do accounts get deactivated?

Appical allows admins to set a deactivation date on user accounts. For example, to automatically end access after an onboarding period. When that date is reached, the account is archived and the user can no longer log in. This is by design, but causes login issues if the deactivation date was set incorrectly, the user's access period has been extended, or no deactivation date was intended.


How to reactivate a deactivated account

Follow these steps to restore access for a deactivated user.

  1. Click on 'User Management' in the menu on the left.

  2. Use the search bar to find the user and click their name to open their profile.

  3. Click the '...' icon to the right of the user's profile picture.

  4. Select the option to reactivate or unarchive the account.

  5. Once reactivated, open the user's settings and update the deactivation date — set it to a future date or remove it entirely — to prevent the account from being deactivated again.

📌 Important: Always update the deactivation date after reactivating an account. If the original date is left in place, the account will be automatically deactivated again.


Send a password reset after reactivation

After reactivating the account, send the user a password reset email so they can set a new password and log back in straight away.

If the user is still showing as archived after reactivation

In some cases a user may still appear as archived after reactivation. This can happen if there is a conflicting status in their profile — for example, a 'Withdrawn' status set by an HRIS integration.

If this happens:

  • Check the user's profile for any secondary status flags (e.g. 'Withdrawn') that may be overriding the reactivation.

  • Review any HRIS or integration data linked to this user — a conflicting status from an integration can prevent reactivation from taking effect.

  • Contact Appical Support if the issue persists, and include the user's email address and a description of what you see in their profile.
